What a WhatsApp template is and when your company needs one

Your team can message any customer on WhatsApp, always. What changes depending on the moment is in what format, and understanding that difference explains almost everything that later looks like an arbitrary limitation of the platform.

The 24-hour window

When a customer messages you, a 24-hour clock starts. Inside that clock your team replies with whatever text it wants, improvising, without asking anybody's permission. If the customer writes again, the clock resets to zero.

Once those 24 hours pass with no message from the customer, the window closes. And that is where the template comes in.

What a template is

A template is a message whose text is defined in advance, which Meta has reviewed and approved, with gaps for the data that changes on each send.

Something like this:

Hi {{name}}, your order {{number}} has left the warehouse and arrives on {{date}}.

The text is fixed. What sits between the braces is what varies: the name, the number and the date, which your system fills in on each send. You write it once, submit it for approval, and then use it a thousand times.

Meta does the approving and it takes time. It can be minutes or days, and a rejected template gets corrected and resubmitted.

Why the rule exists

Because without it WhatsApp would be a spam channel and people would abandon it. The window is what keeps the channel at read rates no email has, and that is exactly what makes it valuable to a company.

Worth seeing it that way rather than as an obstacle: it is the reason a message from you gets read in minutes.

What it means in practice

Almost everything a company wants to automate starts from a company decision, not from a customer's message. An appointment reminder, a dispatch notice, an instalment falling due, a launch campaign: none of those begin with the customer writing. All of them need a template.

And there is one case that catches people out: replying late also needs a template. If somebody writes at eleven at night and the team replies the next morning past the 24 hours, the window has already closed. Having that case solved stops the first conversation of the day being the one you cannot answer.

What to prepare before putting an agent live

The list of everything your company wants to go out without a person writing it. That list is your list of templates, and it is worth submitting it for approval in the same week the number is connected, not the week the agent goes live.

If the agent goes live without templates, it will be able to reply but it will not be able to start anything.

One rule that is not negotiable

Bulk sends go over approved templates and only to contacts who agreed to receive them. Always. Whatever gets bolted onto a plain WhatsApp to avoid this circuit is exactly what ends with the number blocked, and a blocked number takes the history and the customers with it.
